Administrative Assistant

Job Summary

New position beginning mid-August, 2017. Staff reception desk. Handle all incoming calls and emails to Psychology Specialists of Maine. Collect payments and maintain all client accounts. Greet clients and visitors to the office, respond to questions and provide assistance.  Schedule appointments for psychologists using TherapyNotes online software and confirm appointments with new clients.

Provide primary administrative support to Director and back up support for five psychologists. Assist with event scheduling, provide help with logistics and coordination of programs.

Assist team in the day-to-day aspects and functioning of the office and programs, including clinical training programs and therapeutic yoga workshops. Manage office décor, ordering supplies, and maintain basic cleanliness of waiting area administrative office, and therapy offices.

Assist director with development of educational and marketing materials for the group. Assist with social media outreach and connecting with other community resources. Maintain organization of office files and utilize the TherapyNotes software for all accounts.

Education/ Skill Requirements

Required: High school diploma or GED; Associate’s Degree or two years of college coursework preferred. Also required: Excellent oral and strong written communication skills; Professional and personable phone manner and ability to manage phone system; Strong customer service skills; Project management skills and attention to detail essential. Professionalism and diligence are essential in a confidential environment. Ability to use scheduling software, databases, word processing programs, and social media; Knowledge of Squarespace web format a plus. Ability to work independently with minimal supervision; A desire to work with adults in a friendly , supportive manner.

Experience Requirements and/or Equivalents

Required: minimum of 2 years of office/administrative experience, preferably in a professional office setting.

Standard Work Days and Hours

Part-time, 18-20 hours weekly. Three days, with hours to be scheduled between 8am-5:00pm Monday through Thursday. Exact days/times negotiable. Hourly pay commensurate with experience.
